Intake, quote, scheduling

LO submits the file via the submit form or direct email. Within one business hour, we acknowledge receipt, request any missing information (typically only when LO hasn't included the FHA case number or target close), and return a written quote covering the full inspection and all standard deliverables. Field-visit date scheduled and confirmed by end of business Day 1.

Field visit

Our P.E. performs the field inspection in person — no subcontracted inspectors. Foundation walk, under-home photography, utility verification, HUD data plate transcription, HUD certification label recording, site work documentation, towing equipment verification. Field visit typically runs 60–90 minutes; complex sites may run 2–3 hours.

Findings drafted against the HUD 4000.1 II.D.4.b checklist in handbook order. Each finding cites the matching sub-reference, states the determination, and documents the supporting observation. Drafting runs alongside photo selection — only photos that directly support a finding are included.

When to use rush

Rate-lock expiration within 7 days, active closings with the structural report as the last condition, or rescue scenarios where a previously-submitted report from another firm was rejected and the file needs a clean re-submission. Not appropriate for "we want it fast" — rush is operationally tight, and we don't add it to files where standard track meets the close.

SECTION 03 / BATCH SUBMISSIONS PIPELINE MANAGEMENT · 5+ FILES

Batch submissions / LO pipeline.

Loan officers managing a pipeline of FHA MFG-home files can submit them as a batch — one form, one written quote covering all properties, scheduled efficiently against routing. 5+ files in a single submission qualifies for batch pricing.

Drop all property addresses, FHA case numbers, target close dates, and any known conditions in one submission. CSV upload available on the submit form. Acknowledgment within one business hour for the full batch.
Single written quote
One quote covering the full batch, with per-file pricing reflecting routing efficiency. Files in the same county or on the same I-corridor route are priced lower than scattered files. Quote returned same business day.
Scheduled efficiently
We sequence field visits by geographic clustering — properties within 30 minutes of each other inspected on the same day, even if FHA case numbers are different. This is how we compress the standard pipeline for batch LOs.
Delivered as completed
Reports delivered individually as each is sealed — not held until the full batch is complete. LOs see files clearing in their pipeline progressively across the 5–10 business day window, not in a batch dump.
Batch pricing tiers
5–9 files: 5% batch discount on standard pricing. 10–24 files: 10% discount. 25+ files: enterprise pricing, custom quote. Discounts on standard track only; rush track priced separately per file.

The minimum information for an intake to convert to a same-day quote. Missing data is the most common cause of Day-1 delays — submissions without an FHA case number or target close add a back-and-forth that pushes the field visit to Day 3.
